1. Inclusions
- One (1) voucher per participant. Each voucher includes:
- Flights: Return flights from London City Airport to San Sebastian Airport with British Airways Cityflyer are included. Please see full

- Meals: Dinner on the evening of Friday 16th May 2025; Lunch and Dinner is included on Saturday 17th May 2025.
Wine Tours & Tastings: Entry, vineyard & winery tours, masterclasses and cellar tastings are all included on Saturday 17th May 2025. - Transportation: Ground transportation is included from San Sebastian city centre (meeting point) to and from the wineries in Rioja on Saturday 17th May 2025.
2. Eligibility
- The customer making the purchase (the “purchasing participant”) must be a British Airways Executive Club (“BAEC”) Member (https://www.britishairways.com/content/executive-club) and must attend the Event.
- The purchasing participant must buy at least one (1) voucher to cover their participation in the Event. Each voucher is valid for only one (1) participant.
- A purchasing participant may buy up to a maximum of four (4) vouchers.
- All participants in the Event must be over 18 years of age to participate.
- Only Personal bookings are permitted; Corporate bookings are not permitted.
- Employees of the Organiser, the Agent, British Airways Plc, British Airways Cityflyer and their affiliates are prohibited from purchasing vouchers for this Event. Any tickets purchased by employees will be deemed invalid. In the context of these terms and conditions, “affiliate” shall mean any company under the control of any of the mentioned companies or is the parent company of any of said companies.
3. Exclusions
- Accommodation: accommodation for the nights of the 16th and 17th May 2025 in San Sebastian is not included in the voucher. Participants are responsible for booking their own accommodation and are advised to book it prior to travelling.
- Personal Expenses: Personal purchases, additional meals, and activities not listed in the itinerary are excluded.
- Transportation: Ground transportation, including transfers to and from the airports and activities not listed in the itinerary, is not included.
- Travel Insurance: Travel insurance is not included. The participants are strongly advised to take out their own specialist travel insurance.
- Additional Flights: Any flights other than the specified return flights are excluded. If the participants decide to fly on any other dates, they shall be responsible for said booking and payment. No refunds will be made if a participant does not fly in one/both of the flights included in the Event.
4. Booking and Payment
- All bookings must be made by purchasing at least one (1) voucher, using Avios to the value of 50,000 Avios plus £25 per voucher. Payment will be taken at the time of booking. The purchasing participant may buy a maximum of four (4) vouchers per transaction.
- The Avios redeemed will be debited from the purchasing participant’s BAEC account on completion of the booking.
Purchase will be confirmed following the purchase of the voucher(s) via email to the email address linked to the purchasing participant’s BAEC account. - The order must include the debit of 50,000 Avios per travelling customer (voucher) from the ordering members British Airways Executive Club account. If the incorrect number of Avios are not debited or available, we reserve the right to cancel the order. We are unable to offer alternative values of Avios.
- Once the purchase has been confirmed, the purchasing participant must respond by selecting a suggested date and time to receive a telephone call within four (4) weeks of the date of purchase. This will enable the flight booking to be made securely. Failure to provide required personal information for the booking of all participants within four (4) weeks of the purchase date will result in full cancellation of all vouchers purchased.
- Vouchers are extremely limited and are available on a first-come, first-served basis while supplies last. The Organiser will set up a waitlist system once the vouchers are all sold, to make sure that, in the event of cancellations by participants, all slots are filled in for the Event.
- This offer cannot be combined with any other offer or discount.
- Subject to these terms, vouchers may be transferable but cannot be resold.
- All applicable taxes must be paid by purchasing participant.
- Vouchers are non-redeemable for cash.

5. Waitlist system
- In the event that all the slots available for the Event have been sold-out, customers will be able to express their interest in attending, by emailing the Agent’s customer care team at: s.sebastian@thewineflyer.co.uk. The customer/s will then be placed in a waiting list and will be informed of this.
- In case of any cancellations by participants, released availability will be allocated in the order of the waiting list, depending on the number of places available and number of places requested on the waiting list.
- The customers from the waiting list that have been allocated a slot in the Event will be contacted by the Agent via email or phone call. The customer will then need to proceed to purchase the voucher/s and follow the instructions and process mentioned in these terms and conditions (specifically, Clause 4). Once the purchase has been confirmed, these terms and conditions will fully apply to the purchasing participant.
6. Personal information and changes
- Purchasing participants will have four (4) weeks from the date of purchase to provide the Organiser with full names, passports, date of birth and other information for all participants. The purchasing participant shall have the consent of the other participants to provide such information on their behalf.
- After the full information has been provided by the purchasing participant, the booking will be fully confirmed via email to the email address linked to the purchasing participant’s BAEC account. This email and vouchers are important documents serving as confirmation of payment and as an exchange document. The participant must take these documents with them, to prove that they have booked and paid for the Event.
- Failure to provide the required personal information for the booking of all participants within four (4) weeks of the purchase date will result in full cancellation of all vouchers purchased.
- Names changes to the voucher applicable to the purchasing participant (BAEC member) are not allowed.
If the purchasing participant has purchased more than one (1) voucher, they may request to change the name of the participants applicable to those additional vouchers, up to and including sixty (60) days prior to the Event start date, provided that they send written notice to s.sebastian@thewineflyer.co.uk. The Organiser reserves the right to accept such name change request. The name change will not be valid unless the Organiser has sent a confirmation email regarding such request.
7. Cancellation Policy
- Cancellation by Participant: Cancellation requests must be made in writing to experience@thewineflyer.co.uk.
a.1 Cancellation requests from the date of purchase and up to and including sixty (60) days prior to the Event start date will be permitted. In such cases, a full reimbursement of the total Avios used to purchase the voucher(s) will be made to the same British Airways Executive Club account. There will be no refunds of any cash amounts paid in the case of cancellation up to and including sixty days prior to departure.
a.2 Cancellations requests made in the last sixty (60) days before the Event start date are non-refundable.
a.3 Failure to provide the necessary personal information of all participants after four (4) weeks from purchase, will result in automatic cancellation by the Participant. In such cases, a full reimbursement of the total Avios used to purchase the voucher(s) will be made to the same British Airways Executive Club account. There will be no refunds of any cash amounts paid. If cancellation happens in the last sixty (60) days before the Event start date are non-refundable. - Cancellation by Organiser:
b.1 In the event the organiser cancels the event due to unforeseen circumstances, participants will receive a full refund for the Vouchers. Refunds will be made to the purchasing participant. Avios will be refunded in the same British Airways Executive Club account and the monies will be refunded directly to the original method of payment.
b.2 The Organiser shall not be liable for any other refunds relating to other costs, including but not limited to travel expenses or accommodation, incurred by the participants. - Flight Cancellations: Flight cancellations are subject to the airline's standard Terms and Conditions.
8. Changes to the Itinerary
- The Organiser reserves the right to make changes to the itinerary for reasons including, but not limited to, weather conditions, flight schedules, and availability of services.
- Participants will be notified of any significant changes as soon as reasonably possible.
9. Conditions of Suppliers
- Some of the services that make up the experience are provided by independent suppliers (the “Suppliers”). The Organiser has contracts in place with the Suppliers, regarding their standard of performance and supply and, where appropriate, they have confirmed they are registered with their relevant regulatory body.
- Once a booking has been confirmed and the vouchers are issued, the participants are bound by the terms and conditions of the Suppliers. Copies of the relevant parts of these Terms and Conditions are available upon request to the Organiser or the Supplier concerned directly. The Event is dependent on certain factors beyond the control of the Organiser. The Organiser is not responsible for the cancellation, postponement or alteration of any part of the Event which is dependent on a Supplier and beyond the reasonable control of the Organiser.
- Flights are provided by British Airways CityFlyer. 10. Health and Safety
- The activities will include a significant amount of walking on uneven terrain. Participants are responsible for ensuring they are physically fit to participate in the activities.
- The main activities included in the Event will involve wine tasting and food pairing. Non-alcoholic refreshments will be made available throughout the Event upon request.
- The Suppliers hosting the wine tasting experiences do not produce a non-alcoholic wine. All wines in the experience will be alcoholic. Spittoons for wine tasting will be provided but the use of spittoons is optional.
- Participants are responsible for observing at all times the health and safety rules given by the Organiser and/or the Suppliers.
- Any relevant medical conditions should be disclosed to the Organiser before the Event. In the case of the Organiser deeming a participant not fit for the Event during the booking process, a full refund will be offered.
- The Organiser shall not be liable for any injuries or illnesses incurred during the event if a participant does not observe the health and safety rules provided by the Organiser and/or Suppliers.
11. Travel Documentation
- Participants are responsible for ensuring they have valid passports, visas, and any other required travel documents prior to travelling.
- The Organiser is not responsible for any participant being denied entry to any country.
- Participants are responsible for providing the correct and complete information needed to participate in the Event to the Organiser. If a participant realises that the Organiser has not logged the correct or complete information relating to their booking, they should contact immediately the Organiser experience@thewineflyer.co.uk to amend their information.
12. Liability
- The Organiser shall be responsible for foreseeable loss and damage suffered by participating customers caused directly by the Organiser’s breach of these terms. If the Organiser fails to comply with these terms, it shall be responsible for direct loss or damage the participant may suffer that is a foreseeable result of the Organiser’s breach of these terms. Direct loss or damage is foreseeable if: (i) it is obvious that it will happen, or (ii) at the time of purchase of the vouchers was made, both the Organiser and the participant knew it might happen. The Organiser shall not be responsible for any loss or damage that is not foreseeable, or it is beyond its reasonable control.
- Liability in cases of (i) death or personal injury caused by our negligence or the negligence of the Organiser’s employees, agents or subcontractors; (ii) for fraud or fraudulent misrepresentation; or (iii) for breach of the participant’s legal rights in relation to vouchers provided by the Organiser, is not excluded.
- Except as provided in these terms and conditions, the Organiser is not liable for any direct, indirect or consequential losses, including but not limited to delays, cancellations, or changes in itinerary.
- The Organiser shall not be responsible for any losses, damages or claims should a participant lose any flight, transportation or activities included in the Event. In the event a participant loses a flight or transportation included in the Event, the participant is responsible for arranging and paying their own transportation to the next meeting point or activity in the itinerary. No refunds will be made if a participant does not fly in one/both of the flights included in the Event.
- Participants agree to indemnify and hold the Organiser harmless from any claims arising directly or indirectly from: (i) their breach of these terms and conditions; (ii) any incorrect or incomplete information they have provided to the Organiser; and/or (iii) any expired travel documentation.
13. Behavioural Expectations
- Participants are expected to behave responsibly and respectfully at all times during the Event. Participants must be 18 years old or older to consume alcoholic beverages.
- Appropriate attire required at all times. In the context of this clause, “appropriate attire” shall mean an attire that allows the participant to fully enjoy the overall experience comfortably, without it being a distraction to other participants, and respectful to the Organiser and participants.
- The organiser reserves the right to remove any participant from the event who engages in disruptive, illegal, unsafe behaviour, or inappropriate attire, with no refund provided.
- By participating in this event, participants agree to abide by all rules of the Event and to conduct themselves in an orderly manner. Failure to do so may lead to: (i) expulsion from the event; (ii) prohibiting participants from purchasing or attending any subsequent events organised by the Organiser and its affiliates; and/or (iii) Executive Club membership cessation.
- If a participant fails to comply with these terms and conditions, the Organiser shall not be liable for any injuries, direct and/or indirect loss, damage or claim.
14. Force Majeure
- The Organiser is not responsible for any failure to perform its obligations due to causes beyond its reasonable control, including but not limited to natural disasters, pandemics, strikes, or acts of war.
15. Photos taken during the Event
- The Organiser will be taking photos during the whole duration of the Event. These images will be used by the Organiser to share news about the Event and publicise their business, products and future events. Images may be used in press releases, printed publicity and published on the Organiser’s website. The Organiser may also share these images with its affiliates, contractors or subcontractors for the same purpose described. The images will be stored securely.
- If a participant prefers for them not to be photographed, the participant shall contact the Organiser at s.sebastian@thewineflyer.co.uk prior to the commencement of the Event. If a participant wishes to see their photos, or would like the Organiser to delete them, they should contact the Organiser at experience@thewineflyer.co.uk.
16. Governing Law
- These Terms and Conditions are governed by the laws of England and Wales. Any disputes arising from this agreement will be subject to the exclusive jurisdiction of the courts in England.
17. Acceptance of Terms
- By making a booking and by participating in the Wine Flyer Experience, all participants fully agree to and accept these terms and conditions. For avoidance of doubt, these terms and conditions apply equally to the purchasing participant and all the participants named in the same booking.
